This volunteer role provides the first and last point of contact at the Hospice for visitors/clients, health care professionals and other agencies, both face to face and on the phone. It is a key role in ensuring that all visitors receive a warm welcome and positive experience at the Hospice.

Time commitment The Reception Desk is open seven days a week from 8.30am to 9pm on weekdays and from 9.30am until 9pm at the weekend. This is covered by four different shifts each day ranging from 2 to 4.5 hours each.

It is important that the volunteer arrives on time for their shift and a hand-over.

We also recruit volunteers as “floaters” to cover vacant shifts and short notice absences when required.

Tasks and activities

• Provide a friendly, empathetic and efficient Front of House reception service by welcoming and directing visitors, being mindful of the needs of distressed relatives. Providing a pro-active response to the wide range of enquiries and questions asked of the Receptionist.

• Ensure that all visitors to the Hospice sign in and out on arrival and departure.

• Operate a small switchboard to answer and direct external calls to relevant staff/teams within the Hospice.

• Deal with donations received at Reception by completing the relevant documentation and, if appropriate, contacting a member of the Supporter Care department to come to Reception to thank the donor.

• Work collaboratively with the Welcome and Coffee Shop volunteers and the Reception Team Leader, as part of the wider Front of House team.

What skills do I need?

• Personable with excellent communication (verbal and written) skills.

• Discrete and able to maintain confidentiality at all times.

• Organised and able to prioritise and be trusted with sensitive information.

• Computer literate - particularly e-mail and internet

• Tact and diplomacy, particularly when dealing with distressed people or sensitive situations.

• Flexibility and timeliness.

• Enjoy working in a team environment

• Happy to undertake lone working (certain shifts) while maintaining a team role within the Front of House services.

• Self-motivated

• Demonstrable commitment to our values of integrity, compassion, accountability, respect and excellence.
